Job Description

Purpose of the role

The Accounts Officer’s core responsibility is to assist and provide the necessary support to the accounting and finance team by performing any required accounting duties on a day-to-day basis including invoice processing, daily bookkeeping records, fixed assets accounting and maintenance of the general ledger journals and reconciliations.

Main Responsibilities

Health & Safety Management

Complies with Health & Safety Management by:

  • Abiding to Policies and following Procedures scrupulously.
  • Having a knowledge of the main requirements of standards and advisories.
  • Reporting any dangerous situation, near misses or unsafe act/condition to management.
  • Participating in and contributing to safety month activities or other safety related events organized by the company.
  • Leading or attending toolbox talks organized by your department.
  • Maintaining all PPE issued to you by the company.
  • Participating in the risk analysis of activities performed by you, as and when required.
  • Keeping Management informed of all new work process put in place in your department to enable a proper risk analysis.


  • Timely invoicing of other sales items, for eg. sub-contractor’s diesel, electricity, RGPA recharged, GPS & other sundry income.
  • Processing of all credit notes, following investigation and treatment of customer queries.
  • Follow up & supervise the invoicing performed by the Operations department, provide daily status on invoicing to Finance Manager & General Manager and highlight any delay and any other issues to concerned parties.
  • Reconcile the monthly volume sold with the production reports.
  • Provide monthly volume sold and turnover for the End of Month closing.


  • Maintain daily Cash Flow & submit to Finance Manager.
  • Analysis of bank balances and cash movements including direct debits and standing orders.
  • Liaise with Payable Officer & Receivable Officer regarding the payment to be issued to suppliers & collection expected from debtors, respectively.
  • Update the cash flow for decision-making.
  • Maintaining the loan books.
  • Tracking of funds transfer to beneficiaries upon request.
  • Process suppliers’ invoice.
  • Prepare cheques and bank transfers.

Statutory Return

  • Prepare monthly VAT and TDS return.
  • Submit statutory monthly E-filing of VAT and TDS return within the due date.
  • Submit statutory annual E- filing TDS return to the MRA within the due date.
  • Prepare and submit annual statement of TDS to suppliers/ payers.
  • Submit annual statutory E-filing of supplier’s data to the MRA within the due date.
  • Attend MRA queries with respect to suppliers’ information.
  • Monthly reconciliation of VAT paid or claimed & taxable supplies.

Bank Reconciliation

  • Responsible for the weekly & monthly bank reconciliations, ensuring that all data input by AP/AR have been performed and cleared.
  • Posting of entries to the General Ledger account.
  • Proceed with the system input of all direct debits and standing orders and ensure the subsequent reconciliation and reporting in accordance with established list of monthly direct debits.
  • Provide monthly bank reconciliation to Finance Manager.


  • Organize stocktaking exercise & attend stock count.
  • Provide monthly stock valuation & stock variance report including purchase and consumption of raw materials.
  • Provide monthly stock valuation for diesel.
  • Follow up on stock items with Procurement & Plant Supervisor.
  • Ensure that stock procedures are adhered to and ensure that stock valuation is signed off in accordance with authorization matrix.

Fixed Asset

  • Ensure Fixed Assets Register is properly maintained.
  • Manage and reconcile capital expenditure work in progress records in an orderly manner to meet month reporting deadlines.
  • Process Capital Assets disposals in a timely manner and make sure disposals have been properly authorized.
  • Prepare Capex form and supporting documents for the capitalization of assets and ensure that concerned parties have signed off accordingly.
  • Process and account the monthly depreciation in an orderly and timely manner.
  • Ensure that Fixed Asset Register and the subsidiary asset ledger reconcile with the General Ledger accounts.
  • Provide monthly schedule to Finance Manager.
  • Follow up on physical verification of Fixed Assets.

Right of Use Asset & Lease liabilities

  • Process and account the monthly depreciation in an orderly and timely manner.
  • Process and account the monthly capital repayment and interest on lease.
  • Ensure that Right of Use assets and lease liability schedules are properly maintained and reconciled with the General Ledger accounts.
  • Account for recognition & derecognition of Right of Use asset & lease liability.
  • Provide monthly schedule to Finance Manager.

General Ledger journals

  • Process the monthly General Ledger journals: payroll, accruals and prepayments.
  • Maintain monthly accruals and prepayments schedules and ensure reconciliations of General Ledger control accounts required within due date.
  • Provide monthly accruals & prepayments schedules to Finance Manager.
  • Post final bookkeeping entries required for producing of financial statements & management accounts.


  • Assist the auditors in their audit fieldwork & liaising with them in relation to queries raised regarding the finalisation of Financial Statements – respond to queries within 48 hours.
  • Adhere to the internal control procedures.


  • Attend stock count as and when required.
  • Any other cognate duties.

Competencies Required

  • Holder of an ACCA Level 2 or above.
  • A Diploma in Management or any equivalent will be a definite advantage.
  • At least 2 years in a similar position.

Technical Competencies

  • Fully Computer-literate (proficiency in MS Office).
  • Solid grasp of accounting principles.
  • Stock control techniques.
  • Numerical ability.
